Step 1: Faculty finds resources

Search the library catalog to find your course materials at CIA Library.

If you need help looking for a resource, email Jackie Lagunzad, the Course Reserves staff contact in the library. You can also contact the library at library@cia.edu.

Need a resource not currently in our collections? Submit a Resource Request.

You can request both print and electronic resources. Specify on the form that the resource is intended for reserves.

Streaming video licensing is also available at CIA Library. Email Laura Ponikvar, CIA Gund Library Director, for more info or if you have any other questions about library acquisitions.

Step 2: Faculty request items

Submit a Course Reserves Request form for each course you wish to have items on reserve.

Faculty select materials for both print and digital reserves and determine loan periods for print reserves.


Loan Period Options:

  • In Library

3-hour borrowing for use in library only. We use this loan period if one is not specified an item on the form or if an item is being used for multiple concurrent courses and/or sections. Fines: $1/hour overdue.

  • Overnight

If borrowed before 4pm: The item can only be borrowed for 3-hour in library use only. If borrowed after 4pm: The item can be borrowed overnight and returned the next day the library is open. Items must be returned by 10am if returning Monday-Friday or 2pm if returning Saturday or Sunday. Fines: $1.00/hour overdue.

  • One Week

Can be taken out of library. Items must be returned 7 days after checkout. Fines: $10.00/day overdue.


More Info on Requesting Course Reserves:

  • Print reserves are limited to 20 items per course due to space constraints.
  • Only CIA Library resources are accepted for reserves with the exception of faculty-owned print copies. Faculty copies will be used in-library only and returned to faculty at the end of the semester.
  • Kindle eBooks may also be available for course reserves. See our Kindles for Course Reserves page for more info.
  • We encourage faculty to upload a syllabus if possible. This can help us acquire resources faster and time-manage processing requests.
  • Items can be on reserve for multiple courses and/or sections within the same semester.
  • You can submit multiple requests for the same course throughout the semester.
  • Please at least submit requests for materials needed in the first week of class ASAP before the semester.
  • We will contact faculty if we can't accommodate a course reserves request.
  • Items can only be requested and reserved for one semester.  Even if you're using the same materials you've previously requested for the same courses you've previously taught, please re-submit these requests.
  • Course reserves services are only for CIA degree-program courses. We cannot provide course reserves for Continuing Education courses.

Please submit all forms ASAP.

This helps expedite the processing of materials and ensure they're available for students by the start of the semester.

Step 3: Library processes requests

The library processes all requests in the order they are received.

We make every effort to have course materials available by the first week of the semester. Personal copies from faculty must be received before the library puts them on reserve.

Library staff provides the following processing services for course reserves:

  • Pulling materials from shelves;
  • Processing materials in the library's management software for your requested loan periods;
  • Shelving print resources on our course reserves hold shelves behind the circulation desk;
  • Posting links to digital resources on the library's eReserves module in Canvas.

Course Reserves Confidentiality Statement

Course reserves borrowing records are confidential, as are all library circulation records.

The library staff isn't permitted to provide the names of anyone who has used course reserves materials.

Copyright & Fair Use for CIA course reserves

CIA Library makes every effort to comply with current copyright law regarding the use of photocopied materials.

Photocopies of items can be placed on reserve, with conditions. A copy can be placed on reserve once and will be made available via eReserves unless otherwise requested in print. If a copy of this same material is requested for another semester, faculty must provide written permission from the copyright holder. The library may be able to provide assistance in obtaining copyright permission or investigating other options if possible.

To comply with Fair Use guidelines:

The amount of photocopied material on reserve should be a small portion of the total original work. A general library practice is to allow one article, one chapter of one book, or 10% of one original work.

Photocopies (print or electronic) cannot be copied, printed, or downloaded.

Photocopies via eReserves are only for use by faculty and students enrolled in CIA courses for purposes associated with these courses. These materials cannot be retained, distributed outside of eReserves, or used for unauthorized courses.

Course reserves does not replace course packs.
